Microsoft Project Online retires in 2026 – and now?
These are the best alternatives
Many organizations have been using Project Online as the heart of their project and portfolio management for years. However, the platform is reaching its limits: outdated architecture, limited web version and lack of native integration of modern functions. Microsoft has therefore now announced that Project Online will be shut down for good on September 30, 2026. For companies that rely on this platform, this means that they need to act as early as possible, because those who want to continue to manage their projects efficiently, utilize resources optimally and pursue strategic goals transparently must now look for alternatives.
The end of Project Online – the most important things first:
- Shutdown: September 30, 2026
- End of support for SharePoint-based workflows: April 2, 2026
- No more new customers: from October 1, 2025
- Migration required: After the shutdown date, access to project or portfolio data is no longer possible.
The risks are clear: those who plan the switch too late face data loss, interrupted workflows and time pressure when familiarizing themselves with new tools. Switching to another Microsoft product alone takes three to six months, as processes need to be redefined, data needs to be cleaned up and the migration is quite complex – especially for organizations that have extensively customized, expanded and adapted Project Online over the years. At the same time, the Microsoft alternatives lack some functions and reach their limits when it comes to portfolio management, financial controlling and governance.
The opportunities of the changeover
Project Online is best known for project planning using the waterfall method. It allowed thousands of tasks to be created, dependencies to be linked and resources to be planned precisely. However, the large number of functions often meant that project managers lost track of things or were forced to work with Excel at the same time. In addition, project management software that is limited to the waterfall method no longer reflects today’s everyday project work. Instead, the focus is now on collaboration, flexibility and agility, as project and portfolio management often take place in a highly dynamic environment. Projects are created quickly, change constantly and very few projects can still be managed using traditional Gantt plans. Saying goodbye to Project Online therefore opens up new opportunities for companies to achieve better, more modern project and portfolio management.
Why the Microsoft alternatives are not enough
Microsoft offers Project for the Web or Planner Premium as alternatives. In our experience, these alternatives are sufficient for simple projects, but they show weaknesses when it comes to complex programs and large portfolios:
- No integrated portfolio management
- Missing finance and budget modules
- Limited integration options outside the Microsoft ecosystem
- No natively integrated monitoring & evaluation (M&E)
Even more critical is the option of using the Project Server Subscription Edition, with which Project Online can continue to be used in an on-premise version. This means that the same range of functions is essentially retained. However, this can only be a transitional solution, as it will probably only be supported until 2031 and no further developments will take place.
Companies that only rely on Microsoft alternatives therefore risk inefficient processes and increasing complexity. As a change is now inevitable, it makes sense to look at alternatives to Microsoft’s offerings. It is important to weigh up the options carefully and select the software that best suits your company. Typical difficulties with MS Project and how myPARM solves them
- Rigidity in portfolio overview: One of the biggest problems is the lack of flexibility in portfolio management. While Project Online is primarily geared towards managing individual projects, it quickly becomes confusing as soon as several programs or entire portfolios need to be coordinated. myPARM, on the other hand, offers a clear multi-project view by default and allows projects to be aligned with strategic goals – a real advantage for companies that need to maintain an overview of complex interrelationships.
- Complex user interface: The user-friendliness of Project Online was also often a point of criticism. The interface is considered complex and difficult to understand, especially for users without in-depth technical knowledge. myPARM deliberately takes a different approach here: the solution is completely web-based, intuitive to use and available in multiple languages. This lowers the barrier to entry, facilitates acceptance within the company and significantly reduces the amount of training required.
- No integrated workflows or claims: Another shortcoming is the lack of integrated modules for workflows or financial processes. Until now, companies have had to resort to additional tools or costly in-house developments in order to map budget controls, forecasts or approval processes, for example. With myPARM, such detours are a thing of the past: The solution comes with its own modules for financial management, workflows and monitoring & evaluation – seamlessly integrated and ready for immediate use.
- Scaling problems across departments: Last but not least, scaling is a challenge. Microsoft Project can work well in smaller teams, but as soon as it comes to a company-wide rollout across several departments, it quickly becomes complicated and expensive. myPARM was designed from the ground up to support hundreds of users and extensive project portfolios – and can therefore be used in large organizations without any problems.
- Complex integrations: And finally, there is the issue of integration: while Microsoft Project relies heavily on its own ecosystem, connecting external systems often requires individual development effort. myPARM, on the other hand, offers plug-and-play integrations via REST APIs as well as interfaces to SAP, DMS, JIRA, SharePoint and even MS Project itself. This not only makes the solution more flexible, but also more cost-efficient in the long term.
